Who is responsible for the information
The Elite Coaching App is operated by Mr L M Fowler trading as LF Coaching. For team and player records, the club or coach using the app decides why the information is collected and who may access it. They are responsible for providing the appropriate privacy information and deciding the lawful basis for using those records, including any additional condition required for health information. LF Coaching provides and hosts the app and processes team and player records to deliver that service and on the club or coach’s instructions. LF Coaching also handles coach account and service information to administer and secure the app.
Information the app can hold
Depending on how a club uses the app, records may include coach account and access details; player names, team and football records; player photographs; parent or guardian contact details; attendance and match information; development notes and Football IQ activity; club logos; and optional medical, allergy, injury, medication and emergency-plan information.
Fitness test times recorded by a coach may also be stored in a player profile and viewed by authorised coaches for player development.
How information is used
Information is used to provide authorised team access and support team administration, registers, match records, player development, reports and safeguarding-related coaching needs. Medical and emergency details are intended for authorised coach use and are not included in ordinary player views or reports.
Access and service providers
Information is available to people with the relevant app access for the team. App records and uploaded files are hosted with Cloudflare services, including Workers, D1 and R2. If automated reminders are enabled and configured, the app can send event details and the relevant parent or guardian contact information through Resend for email or Meta’s WhatsApp service for WhatsApp messages. Coaches can also choose to open or copy prepared content into other services themselves. Each provider processes information under its own terms and privacy information.
Storage and security
Some information may be stored on a device to support offline app features. The app uses a session cookie to maintain authorised access and device storage for offline features. PINs are kept in a protected form, and account access controls limit team information to authorised users. Coaches should keep their PIN private and sign out on devices they do not control. No internet service can guarantee absolute security.
How long information is kept
Team and player records, including archived season records, remain in the app until the responsible club or coach deletes them. Clubs and coaches should review records regularly and delete information when it is no longer needed. To request deletion of an app account or stored data, contact the club or coach responsible for it, or email info@theelitecoachingapp.com.
Your privacy rights
For player or team records, contact the club or coach responsible for the record first. You can also contact LF Coaching at info@theelitecoachingapp.com about how the app handles information. Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of personal information, and to object or complain to the Information Commissioner’s Office.
Subscriptions and payments
This app does not currently take subscription payments. When subscriptions are introduced, the page will explain the plan, price and payment terms before a customer signs up. If Stripe is used, payment details will be handled by Stripe rather than stored as card details in the app, and this policy will be updated before payments open.
Children’s information
Team records may relate to children. Clubs and authorised coaches should only add information needed for coaching and safety, make sure the required permissions and legal basis are in place, keep information accurate, and restrict access to people who need it.
